Privacy Policy
Who we are
Natz Active Therapy Zone is a sports and wellness therapy practice based at 32 Bouldish Farm Road, Ascot, Berkshire, SL5 9EQ. We are the data controller for the personal information described in this policy.
ICO Registration Number: C1938309. You can view our registration at ico.org.uk.
What data we collect
We only collect information you give us directly, or that we generate in the course of providing treatment. This includes:
• Contact details, name, address, phone number, email address
• Health information, medical history, current injuries, medications, contraindications, and treatment notes (this is “special category” data under UK GDPR)
• Appointment records, booking history, attendance, cancellations
• Payment records, amounts paid and payment method, where relevant (we do not store full card details)
We do not collect any more information than we need to assess you safely, plan your treatment, and manage your bookings.
Why we collect it, and our legal basis
• To assess your suitability for treatment and deliver it safely, necessary for the performance of our contract with you
• To process health and medical history, with your explicit consent, given at your first consultation and confirmed at each appointment where your circumstances change
• To keep records as required by our professional bodies (ARA, STO, CMA, FHT) and UK healthcare record-keeping standards, a legal obligation
• To contact you about appointments, reminders, or to follow up after treatment, necessary for our contract with you, or with your consent for marketing communications
Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. We may share limited information with:
• Our booking and website platform provider (METBooker), who processes appointment and contact data on our behalf under a data processing agreement
• Your GP or another healthcare professional, but only with your explicit consent, or where we believe there is a serious risk to your health or safety
• Our insurer (Westminster Insurance) or professional body, if required to investigate a complaint or claim
• Regulatory or law enforcement bodies, where we are legally required to do so
All of our systems, including our booking platform, store your data within the UK.
How long we keep your data
We retain treatment and health records for 7 years from your last appointment, in line with UK therapy and healthcare record-keeping standards. Records relating to a client who was under 18 at the time of treatment are kept until their 25th birthday. After the relevant period, records are permanently and securely deleted.
How we protect your data
All records are stored securely and encrypted where held electronically. Access is limited to those directly involved in your care. We take reasonable technical and organisational steps to prevent unauthorised access, loss, or disclosure of your data.
Your rights
Under UK GDPR, you have the right to:
• Access a copy of the personal data we hold about you
• Ask us to correct inaccurate or incomplete data
• Ask us to delete your data, where we are not required to keep it
• Ask us to restrict how we use your data
• Object to certain uses of your data
• Receive your data in a portable format, where technically feasible
• Withdraw consent at any time, for anything we process on the basis of consent (this will not affect treatment already provided)

Children and young people
Where we treat a client under 18, we require the consent of a parent or guardian before the first appointment, and a parent or guardian must accompany them unless otherwise agreed in writing.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it was last revised. We'll post any changes on this page.
Terms of Service
These terms apply whenever you book an appointment with Natz Active Therapy Zone (“we”, “us”). By booking, you agree to them. Please read them alongside anything else we tell you at your consultation.
Consultations and consent
Every new client undergoes an initial assessment before treatment begins. You'll be asked to disclose relevant medical history, current injuries, medications, and any conditions that might affect treatment. It's your responsibility to give us accurate and complete information, as treatment decisions are based on what you tell us.
We'll explain what a treatment involves before we begin, and your consent is required before any hands-on treatment starts. You can withdraw consent, or ask us to stop, at any point during a session.
Right to postpone or decline treatment
We reserve the right to postpone, adapt, or decline treatment where we reasonably believe it isn't safe or appropriate, for example due to an undisclosed medical condition, contraindication, or infection risk. Where we do this, we'll explain why and suggest next steps, such as seeing your GP first.
Fees and payment
Current prices are shown on our website and are confirmed at the time of booking. Deposit payment is due at the time of your appointment, and remainder at the appointment, unless otherwise agreed. All packages must be paid upfront.
Cancellations and rescheduling
You may cancel or reschedule free of charge up to 48 hours before your appointment. Cancellations or changes made with less than 48 hours' notice, and missed appointments, may incur a charge of up to the full session fee.
Under 18s
Clients under 18 require written consent from a parent or guardian before their first appointment, and must be accompanied unless we've agreed otherwise in advance.
Your responsibilities
• Arrive on time and allow enough time for your session
• Tell us about any change in your health, medication, or symptoms before each appointment
• Follow any aftercare or home-exercise advice given, at your own discretion
• Wear or bring suitable clothing for the treatment being provided
Liability
We carry out all treatment with reasonable skill and care, in line with our professional training and the standards of our regulatory bodies. We are not liable for the natural progression of a pre-existing condition, or for outcomes that depend on factors outside our control, such as your disclosure of accurate health information or your adherence to aftercare advice. Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, or for anything else that cannot lawfully be limited.
Insurance and professional standards
We are fully insured with Westminster Insurance for all treatments we offer, and hold membership with the Acupuncture Regulatory Association (ARA), Sports Therapy Organisation (STO), Complementary Medical Association (CMA), and Federation of Holistic Therapists (FHT).
Complaints
If you're unhappy with any aspect of your treatment or care, please raise it with us directly at contact@natzactivetherapyzone.uk so we can address it. If we can't resolve things between us, you may escalate a complaint to the relevant professional body listed above.
Governing law
These terms are governed by the laws of England and Wales.
Changes to these terms
We may update these terms from time to time. The current version will always be available on this page.
